What drives productivity in the workplace? I remember starting my first corporate job and needing help with productivity and efficiency. I often found myself overwhelmed with the workload and struggled to meet deadlines. One day, I decided to explore more learning methods and systems to help improve productivity and maximize efficiency in the workplace.

I began observing the daily routines of productive people and learning the psychology behind efficiency. I noticed the office needed to be more organized and have efficient systems for employees. So my suggestion was not to go paperless but adopt a digital approach to organize my office live. 

I also followed the advice of the IT guru and implemented a digital system. It reduced clutter in the office and made it easier for me to access and share files.

Since my job involves many administrative tasks, I observed my time, being more intentional with my schedule, and set clear agendas to ensure that meetings were efficient and productive.

 Implementing these changes, I saw an immediate productivity improvement and better productivity in the workplace. 

The lesson learned from this anecdote is that small changes in the workplace can have a significant impact on productivity and efficiency. By adopting digital systems and setting clear meeting agendas, businesses can maximize efficiency and achieve tremendous success.

Lack of productivity in the workplace can be a result of other factors but to be more productive at work you need to follow the tips below to increase effficiency.

 One of the essential elements of productivity is having the right tools. This includes physical tools such as computers, phones, printers, and software and apps that can help streamline processes and make it easier for employees to complete their tasks. Some popular productivity tools include:

  • Time tracking and management apps like Toggl, RescueTime, and Focus@Will, which help to monitor the time spent on specific tasks and optimize workflows
  • Communication and collaboration tools like Slack, Zoom and Microsoft Teams facilitate effective teamwork and keep everyone on the same page.
  • Cloud-based storage and sharing platforms, like Google Drive, SharePoint, Dropbox, and OneDrive, allow teams to access and share documents and information remotely.
  • Microsoft 365 is a wonderful app with additional programs to help with office productivity. So get your employer to share it.

There are many Office tools available, but my favorite is Microsoft 365. Some of the most commonly used ones include:

  1. Microsoft Word: a word processing tool used for creating and editing documents.
  2. Microsoft Excel: a spreadsheet tool used for data analysis, financial calculations, and more.
  3. Microsoft PowerPoint: a presentation tool used for creating slideshows, presentations, and multimedia projects.
  4. Microsoft Outlook: an email and personal information manager tool used for managing email, contacts, and calendars.
  5. Microsoft OneNote: a digital note-taking tool used for creating and organizing notes, ideas, and information.
  6. Microsoft Teams: a collaboration tool used for messaging, video conferencing, and file sharing within a team or organization.
  7. Microsoft Access: a database tool used for organizing, managing, and querying large sets of data.
  8. Microsoft Publisher: a desktop publishing tool used for creating brochures, newsletters, and other marketing materials.

  • Creating a filing system that is easy to navigate and understand
  • Using labels, folders, and binders to keep documents and information in order
  • Setting up a plan for tracking deadlines and appointments
  • Regularly reviewing and purging unnecessary files and documents
  • Maintaining an up-to-date calendar and schedule.

Another example of a tool I love is Adobe.
